Creating availability

The Popless calendar makes creating availability quick and easy, without needing to go through several menu options or pages. To create availability:

1. Go to popless.com and sign in to your account.

2. Go to the calendar view, and find the day and time you want to create availability for.

3. Click and drag your mouse cursor over the desired time slot.

4. A pop-up box will appear with the availability name, time, and lessons the availability will relate to. Fill in the information.

5. Once you've finished filling out the information, click "Save" to create the availability slot.

Note: you should be logged in to your Popless account and be a tutor to create new availability.

Recurring availability

There may be times when you want to mark yourself as available at the same time each day, week, or month. To do this, we’ve built recurring availability. You can create recurring availability in Popless by specifying that an availability slot should repeat at a certain frequency (e.g. daily, weekly, monthly, or yearly). To do this:

1. Follow steps 1 - 4 above to create availability

2. Before saving your availability slot

3. Change the repeat settings by selecting ‘Does not repeat’

4. Select the recurring frequency you want (daily, weekly, monthly, yearly)

5. Click "Save" to create the recurring availability slot

When you create a recurring availability slot, Popless creates a series of availability slots with the same title, description, and other details. You can edit, move or delete any individual availability slot or the entire series.

For example, you could create a recurring availability slot for weekly Saturday morning tutoring sessions. Recurring availability slots save time and effort by not having to create the same availability slot multiple times.

Updating availability

On Popless, you can update the date and time of your availability by clicking and dragging the availability you created on your calendar:

1. Go to popless.com and sign in to your account

2. Find the availability slot you want to update the time for

3. Click and hold the availability slot, then drag it to the new date and time

4. The availability slot’s time will automatically update to reflect the new date and time

If the availability slot is recurring, Popless will prompt you with options on whether you want to change only the current availability slot, or change all the repeating availability slots as well. Alternatively, you can also use the "Edit availability" feature by clicking the pencil icon in the top right of the pop-up box and updating the start and end times of the availability slot.

Removing availability

To remove an availability slot on Popless

1. Go to popless.com and sign in to your account

2. Click on the availability slot you want to remove

3. A pop-up box will appear

4. Click the trash can icon in the top right of the pop-up box

If you delete a recurring availability slot, Popless will prompt you with options about whether you want to delete the only selected availability slot, or delete all the repeating availability slots as well.

Connecting Google Calendar

Calendar syncing is a core part of what makes scheduling work smoothly on Popless. With the Popless Google Calendar integration, you can also opt to automatically be marked as unavailable during any event on your Google calendar. For example:

• Suppose you set your availability to 1:00 p.m. to 8:00 p.m. Monday through Friday, but you have a doctor's appointment on Friday from 2:00-3:00 p.m. If you put that appointment on your Google Calendar, then Popless will automatically remove that block of time from your availability, leaving you with open slots from 1:00-2:00 p.m. and 3:00-8:00 p.m. on that day.

• Tip: Keep in mind that the calendar sync feature will only block off the exact times listed on your Google Calendar. So if it takes you 30 minutes to get ready and drive to the doctor, then you might want to have the event on your calendar start 30 minutes before your actual appointment so that you don't have a session overlapping it.

Calendar syncing works in the other direction too. It enables Popless to push all your scheduled bookings to your calendar so that you have an independent way to keep track of all your upcoming tutoring sessions, which will come in handy when you're making plans and scheduling meetings.

Using Google Calendar to make yourself unavailable

If you are going to be unavailable for tutoring for a block of time and don’t want to update your calendar in Popless, you can create a Google Calendar event to set yourself as unavailable during that time. This is particularly useful if you've got a vacation planned, or are planning on taking a class, or have some other upcoming short-term commitment.

To block out time using Google Calendar:

1. Use your computer to open Google Calendar

2. Click the Create button in the top left

3. Create an event that corresponds to your unavailable time, by giving it a title, date, and time

4. Expand the More Options button, and make sure Busy is selected

5. Click Save

After completing these five steps, the availability displayed on your Popless tutoring profile will automatically be updated to exclude the Google Calendar event you created. This ensures that the availability displayed on your Popless tutoring profile is always up-to-date and accurate.
